Job Description

Bid Pipeline Management & Monitoring

  • Maintain a consolidated and up-to-date overview of all ongoing tender opportunities (RFIs, RFQs, RFPs) across business units.
  • Develop and manage a structured bid tracking system (CRM or dedicated tool) to monitor:
    • Opportunity status
    • Submission deadlines
    • Key milestones
    • Responsibilities and deliverables
  • Ensure pipeline visibility and reporting for relevant stakeholders.
  • Proactively identify and escalate risks related to bid timelines or deliverables to Area Sales Managers and the Head of Sales.



Bid Coordination & Planning

  • Collaborate closely with Area Sales Managers during the preparation of each tender response.
  • Coordinate bid activities and allocate tasks among internal contributors.
  • Manage communication and information flow between stakeholders involved in the proposal process.
  • Monitor progress against agreed schedules and actively follow up on outstanding contributions.
  • Ensure adherence to submission deadlines and internal governance requirements.



Proposal Development & Content Management

  • Draft and manage common, corporate, and cross-functional proposal sections, including:
    • Company presentations
    • References and case studies
    • Qualifications and certifications
    • Compliance documentation
  • Structure, edit, format, and harmonize proposal content in accordance with customer requirements and tender specifications.
  • Ensure consistency, quality, and professionalism across all bid documents.
  • Maintain and continuously improve the bid knowledge library, including:
    • Templates
    • Standard responses
    • Project references
    • CVs
    • Certifications
    • Supporting documentation



Commercial Support

  • Support commercial presentations and bid defense meetings when required.
  • Assist sales teams in preparing customer-facing proposal materials.
  • Contribute to improving bid processes, methodologies, and best practices.



Market Intelligence & Qualification

  • Conduct ongoing monitoring of tender opportunities and procurement platforms.
  • Support bid qualification activities by gathering and organizing relevant information.
  • Monitor market developments and customer requirements to enhance proposal competitiveness.
  • Provide insights and recommendations to improve future bidding strategies.

The Successful Applicant

Experience

  • Proven experience in bid management, proposal management, tender coordination, or a similar commercial support role.
  • Experience managing public and/or private sector tenders.
  • Demonstrated ability to coordinate multiple deadlines and stakeholders simultaneously.
  • Experience working in a fast-paced, deadline-driven environment.



Skills & CompetenciesTechnical Skills

  • Strong proposal writing, editing, and document management skills.
  • Experience with CRM systems and bid management tools.
  • Advanced proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Excellent document formatting and presentation capabilities.
