About Our Client

To support this mission, it is looking for an Office Manager who will play a key role in the operational and administrative management of the location.

Job Description

The Office Manager acts as a central point of coordination for the Technical Director and supports various operational teams across the shopping centre.

Administrative Management
She/he manages internal and external communications, prepares and reviews documents, maintains updated tenant information, circulates weekly footfall data to the Landlord, the Property Manager and the internal team, and organises meetings and conferences. She/he also manages agendas, appointments and administrative workflows.

Coordination
She/he collaborates closely with internal departments, external partners and tenants to ensure fluid communication and the smooth running of ongoing projects. Responsibilities include drafting meeting minutes, monitoring deadlines, managing office supplies, and overseeing the Info Desk schedule, orders and administrative tasks, including basic support with SUMUP-related matters.

Reception & Customer Relations
As a representative of the shopping centre, she/he welcomes visitors, partners and clients in a warm and professional manner and provides clear, accurate information regarding the centre's services and activities.

Information Management
She/he maintains all records, files and databases, ensures confidentiality and data security, oversees the publication and updates of House Rules on Chainels and manages internal communication such as "What's Up" on Chainels.

Support to Management
She/he assists the Facility Manager with follow‑up on files such as security and insurance, prepares ad hoc reports and summaries to support decision‑making and provides occasional support to the marketing team when needed.

The Successful Applicant

The ideal candidate demonstrates professionalism, discretion and strong organisational abilities.

Key criteria include:

  • A flexible and hands‑on approach.
  • A degree in Business Administration, Secretarial Studies or a related field.
  • Previous experience in an Executive Assistant, Office Manager or similar role; experience in a shopping‑centre environment is a strong asset.
  • Excellent organisational, prioritisation and time‑management skills.
  • Strong proficiency in MS Office and digital tools.
  • Excellent written and verbal communication skills.
  • Ability to work autonomously, anticipate needs and take initiative.
  • High level of discretion and a proactive mindset.
  • Fluency in French, Dutch and English.
