Job Description

  • Welcome visitors and act as the main point of contact for employees, guests and external partners.
  • Ensure the office remains operational, organised and ready for daily business activities.
  • Coordinate meeting rooms, prepare meeting spaces and support internal events and workshops.
  • Manage office supplies, catering services, incoming and outgoing mail, and document archiving.
  • Liaise with external suppliers and service providers to ensure smooth facility operations.
  • Coordinate preventive and corrective maintenance of building systems and office equipment.
  • Support workspace optimisation projects, including storage and inventory management.
  • Contribute to creating a professional, safe and pleasant working environment for all employees and visitors.



The Successful Applicant

  • Secondary education diploma or equivalent experience.
  • Initial experience (1 to 3 years) in office coordination, workplace services, hospitality, reception or administrative support.
  • Comfortable working with Microsoft Office tools.
  • Excellent communication skills in English, combined with a good knowledge of either French or Dutch. Knowledge of both is a strong asset.
  • Customer-oriented and proactive mindset with a strong sense of service.
  • Organised and detail-oriented, capable of managing multiple priorities simultaneously.
  • Reliable, discreet and able to work autonomously while remaining a true team player.
  • Available to work on-site on a full-time basis.
