About Our Client

Our client is an international association representing organizations within a specific industry.

Job Description

  • Manage the daily operations of the office and act as a key point of contact for internal and external stakeholders.
  • Coordinate and manage agendas, meetings, appointments, and travel arrangements for management.
  • Handle incoming communications, including emails, phone calls, mail, and general inquiries.
  • Process and monitor invoices, ensuring accuracy and timely follow-up.
  • Manage invoice payments and financial transactions through SAP.
  • Oversee the payment of bills and maintain accurate payment records.
  • Coordinate office relocation projects, ensuring a smooth transition with minimal disruption to operations.
  • Manage office supplies and equipment, including stock monitoring and ordering.
  • Liaise with suppliers, service providers, and external partners.
  • Ensure the office environment is well-organized, functional, and running efficiently.
  • Prepare, organize, and maintain administrative records and documentation.
  • Provide administrative and operational support to management and assist with various projects and initiatives as needed.

The Successful Applicant

  • Minimum 2 years of experience in an administrative role.
  • Fluent in French and English
  • Strong organizational and administrative skills.
  • Proactive, hands-on, and able to take initiative.
  • Familiarity with SAP is an advantage.
  • Excellent communication skills and attention to detail.
  • Reliable, flexible, and able to work independently in an international environment.
