About Our Client

Our client is an international law firm based in Brussels. Offices are reachable by public transports.

Job Description

  • Provide high-level administrative support to senior professionals, including complex calendar management, correspondence handling, preparation of presentations, and phone support.
  • Coordinate domestic and international travel arrangements, including transportation, accommodation, meeting logistics, and expense management.
  • Organize and coordinate meetings, conferences, networking events, and client-related activities.
  • Manage and maintain electronic and paper records, ensuring accurate filing and document management.
  • Handle extensive email management, prioritizing communications and responding to requests when appropriate.
  • Support the billing process, including the preparation, review, and follow-up of invoices.
  • Prepare and process a significant volume of complex billing activities, requiring accuracy, attention to detail, and strong analytical skills.
  • Maintain databases, contact lists, and administrative records.
  • Provide ad hoc administrative support and assist with various projects as required.



The Successful Applicant

  • Minimum 5 years of experience in a similar Executive Assistant, Personal Assistant, or Senior Administrative Assistant role.
  • Fluent in French, Dutch, and English (spoken and written). Trilingual proficiency is essential.
  • Excellent command of the Microsoft Office Suite.
  • Advanced knowledge of Excel is required, including the ability to work with complex spreadsheets, data management, reporting, and billing-related tasks.
  • Strong organizational and prioritization skills.
  • Excellent attention to detail and accuracy.
  • Ability to handle confidential and sensitive information with discretion.
  • Proactive, solution-oriented, and able to work independently.
  • Strong communication skills with the ability to interact professionally with stakeholders at all levels.
  • Able to remain calm under pressure and manage multiple priorities simultaneously.
  • Reliable, flexible, and service-oriented team player.



Additional RequirementGiven the volume and complexity of the invoicing responsibilities, our client is specifically seeking someone with strong billing experience and the ability to manage complex invoicing processes efficiently and accurately.
